Privacy policy

Effective date: July 16, 2026

Join Our Party (a service of HPH CONSULTING LLC, a Washington State company, doing business as JOIN OUR PARTY— “we”, “us”) helps parents plan children's parties, send invitations, and collect RSVPs. This policy explains what personal information we handle, why, and the choices you have. The service is for adults; children never use it directly.

Information we collect

From party hosts (account holders)

  • Account details: your name and email address, via our sign-in provider (Clerk).
  • Party details you enter: event name, date, location, and your guest list.
  • Payment status. Payments are processed by Stripe on Stripe's own pages — your card number goes directly to Stripe and never touches our servers. We receive only confirmation that a payment succeeded.

About guests (entered by the host, not by us)

  • Guest parents' names and email addresses, entered by the host so we can deliver their invitation. If someone invited you, your contact details came from that host — not from tracking or purchase.
  • RSVP replies from guest parents: who's coming, adult and child headcounts, drop-off plans, and optional free-text notes.

About children (entered by their own parent or guardian)

  • A child's first name (added by the host or the child's parent) and optional dietary needs or allergy notes, entered by the child's own parent or guardian when they RSVP. Allergy and dietary information is consumer health data — it gets its own Consumer Health Data Privacy Policy, which explains the stricter rules we apply to it.

Collected automatically

  • Usage analytics via PostHog, to understand how the product is used and fix what's broken. Analytics events are masked on your device before anything is sent: typed text and on-page text (including names) are not included.
  • Session replay (a recording of pages visited and clicks) via PostHog, only if you are a signed-in host and agree when we ask. If you decline, or are never asked, nothing is recorded. Even with your permission, the recording is masked on your device before anything is sent: text you type and text shown on the page — including names — are never readable, and fields containing allergy or dietary information are excluded from recording entirely. Recording covers only the host dashboard: guest RSVP pages and public pages are never recorded, whether or not anyone has agreed. You can turn recording off at any time with the control at the bottom of your dashboard; your choice also resets when you sign out, so nobody else using this browser inherits it. Email us to have existing recordings deleted.
  • Error reports via Sentry when something breaks (reports from your browser are scrubbed of invitation link tokens and sign-in credentials before they leave your device).
  • Standard technical data: IP address, browser and device type, and cookies needed for sign-in and security.

Our invitation emails contain no advertising and no open-tracking pixels; we track only whether an email could be delivered (bounces and spam complaints), so hosts know an invitation didn't arrive.

How we use information

  • To run the service: create parties, deliver invitations at the host's direction, and show RSVPs to the host.
  • To process payments and prevent fraud.
  • To improve the product, debug problems, and keep the service secure.
  • To comply with legal obligations.

We do not sell personal information. We do not run advertising, do not share data for targeted advertising, and never market to guests or children. Guest contact information is used only to deliver that host's invitations — nothing else.

Who we share information with

The party host sees the RSVPs for their own party (that's the product). Beyond that, we share data only with the service providers that run the product, each bound to use it only on our behalf:

  • Clerk — sign-in and account security
  • Convex — application database and backend
  • Stripe — payment processing
  • Postmark — invitation and notification email delivery
  • PostHog — product analytics and session replay
  • Sentry — error tracking
  • Vercel — website hosting
  • Cloudflare — DNS and network security

We may also disclose information if required by law, or as part of a business transfer (in which case this policy continues to apply to it).

Retention

Host account and party data is kept while your account is active, and deleted when you delete a workspace or ask us to delete your account. Guest and RSVP data is kept with the party it belongs to and goes when the party's workspace does. On top of that, two automatic deletions run on their own, without anyone asking:

  • Allergy and dietary notes are automatically deleted 90 days after the party date (or, for invitations still usable past that point, 90 days after the last invitation link expires). The rest of the RSVP — who came, headcounts — is kept with the party.
  • If a host account is unused for three years, we email a warning to the account's address; if it still goes unused, the account and all its party data are deleted about 60 days later.

Analytics, replay recordings, and error logs are kept for the limited retention periods of those tools and then expire. Email suppression records (bounces, unsubscribes) are kept so we don't email people who opted out.

Your rights and choices

Email support@joinour.partyto access, correct, or delete your personal information. This applies to guest parents too — you never made an account, but it's still your data: tell us the email address your invitation went to and we will show you what we hold or delete it. You can also ask us to stop all future invitation emails to your address, across every party. We respond within 45 days.

For allergy and dietary information, the Consumer Health Data Privacy Policy provides additional rights, including withdrawal of consent and an appeal process.

Children's privacy

Join Our Party is for adults (18+). It is not directed to children, children may not create accounts, and we do not knowingly collect personal information from children. Information about a child — their first name and any dietary notes — is provided by that child's own parent or guardian, or by the host inviting their family. If we learn a child has submitted personal information directly, we will delete it; contact us at support@joinour.party.

Do Not Track

We do not respond to browser “Do Not Track” signals. We also do not permit third parties to collect personal information about your activity across other websites through our service — the analytics above are first-party product analytics only.

Changes to this policy

If we make material changes, we will update the effective date above and notify hosts by email before the change takes effect. Continued use after the effective date means the updated policy applies.
